Billing, Refund and Cancellation Policy

1. Invoices

Subscriptions are billed in advance, monthly or annually. Adding extra users or upgrading mid-period produces an invoice for the rest of the period, calculated to the second. Invoices are in United States dollars, or in Trinidad and Tobago dollars at the rate shown on the invoice if you choose that currency.

2. Payment

Payment is due within 14 days of the invoice date unless the invoice says otherwise. You can pay by card on our payment provider’s secure page or by bank transfer quoting the invoice number. A card payment is confirmed once our payment provider’s report matches it, usually within one business day; your invoice is not treated as overdue meanwhile.

3. Late payment

If an invoice is overdue the subscription becomes past due and administrators are notified. If it is still unpaid 14 days later the organisation becomes read-only: data remains visible and exportable, people keep access to their own shifts, pay and payslips, and billing stays available so the balance can be paid. Full access returns as soon as the balance is paid. We do not charge interest on late payments. Unpaid balances remain owed.

4. Cancellation

Cancel at any time in Plan & billing. Cancellation takes effect at the end of the current paid period, and you can withdraw it before then. Downgrades also take effect at the end of the period. Nothing is deleted by cancelling; see the Data Retention Policy.

5. Refunds

• Trials are free, so there is nothing to refund.
• We do not refund part of a monthly or annual period when you cancel or downgrade, because the change takes effect at the end of the period you have paid for.
• If we end the Service for our convenience, withdraw a feature you pay for, or you end the Terms because of our uncured material breach, we refund prepaid fees for the unused period.
• Duplicate or mistaken payments are refunded in full to the original payment method or account.
• If you believe an invoice is wrong, tell billing@kataritech.com within 30 days of the invoice date. We will review it and correct it where we made a mistake.

6. Taxes

Where value added tax or another tax applies, it is added to the invoice at the applicable rate and our registration number is shown. Until we are registered, no tax is charged.
